How to Track Fashion Orders Without Losing Clients

Most Nigerian fashion designers lose clients not because of bad work but because of bad order management. Here is how to fix that permanently.

You did not lose her because your work was bad.

You lost her because she called three times and nobody could tell her when her dress would be ready. Because the balance she paid was not recorded anywhere. Because she came for pickup and the dress was not done.

Bad order management kills fashion businesses that good craftsmanship built.

This is how to fix it.

The real cost of lost orders

A fashion designer in Lagos with 40 active clients and no order tracking system is managing chaos.

Every order exists somewhere: A voice note. A handwritten note. A WhatsApp message buried in a thread. Your memory.

When a client calls to check her order, you are searching through all of these while she waits on the line.

That search takes 3 minutes on a good day. That 3 minutes tells her everything about how professional you are. And not in a good way.

What proper order tracking looks like

Every order should have one record that shows you everything at a glance.

The client's name and contact. The garment type and description. The fabric and colour specified. The occasion it is for. The due date. The total price agreed. The deposit paid. The balance remaining. The current status. Any notes or special requests.

And that record should be findable in under 10 seconds from anywhere.

Not in a notebook. Not in a WhatsApp thread. In a system built for this exact purpose.

The five order statuses every designer needs

The most common mistake in order management is having no clear stages for an order.

Orders either exist or they don't. Either done or not done.

This is not enough information.

Every order should move through clear stages:

Pending — Order placed, deposit received, work not yet started.

In Progress — Work has begun on the garment.

Fitting — Garment is ready for the client to come in for fitting and adjustments.

Ready — Garment is complete and ready for collection.

Completed — Collected and paid in full.

When a client calls, you should be able to say with complete confidence: "Your dress is in the fitting stage. We will contact you within two days."

That is what professional sounds like.

Due dates are not optional

Every order must have a due date. Not an approximate date. Not "sometime next week."

A specific date.

And you need to be reminded before that date arrives — not on the day it arrives when it is already too late.

A good order tracking system sends you a notification 48 hours before every due date.

This gives you time to: Complete the order if it is not done. Contact the client to reschedule if needed. Organise collection logistics.

Designers who track due dates miss deadlines far less often than those who rely on memory. The difference is not talent. It is infrastructure.

The client portal changes everything

Here is something that most Nigerian fashion designers do not have but every serious business needs.

When you add a client to Corset, they receive a personal portal link.

Through this link they can: See their current order status in real time. View how much they have paid. See their outstanding balance. Upload their payment receipt directly.

This one feature eliminates the most common friction in the designer-client relationship:

"Has she seen my transfer?" "Did she know her dress is ready?" "Why is she calling me again about the balance?"

When clients can check for themselves, they stop calling you to ask. You stop interrupting your work to answer. Everyone gets more done.
